Privacy policy

How the Transport Book desktop app, mobile app, and website handle your information.

Transport Book is fleet and transport management software published by R R Infotech (“we”, “us”). This policy covers the Transport Book desktop application for Windows and macOS, the Transport Book mobile application, and this website. It explains what information the software handles, what leaves your device, and the choices you have.

We do not sell your information, we do not share it with advertisers, and we do not use your business records to train models or build advertising profiles.

Your business data stays on your systems

Transport Book is offline-first. The operational records you create — trips, parties, vehicles, employees, job cards, inventory, accounts, transactions, and attached documents — are written to a database stored locally in your user profile on your own device. That local database is under your control, and we have no access to it.

If you enable synchronisation, those records are copied to the shared database that you or your organisation configure in the app’s sync settings, so your team’s devices stay in step. You choose that destination and control who can reach it. Turning sync off keeps your records on the single device.

Information we do receive

Account and sign-in

Signing in, refreshing your session, and managing users in your organisation contact the Transport Book server operated by us. This handles your user name, organisation, role and membership, and the resulting session tokens. We use it only to authenticate you and to apply the permissions your organisation has granted.

Diagnostics and crash reports

Released builds send crash reports and a sampled share of performance traces to Sentry, so we can find and fix defects. A report contains the error, the stack trace, the app version and build revision, whether the copy was installed from a store or downloaded directly, and basic operating-system and device information. It is not configured to attach your account identifiers, and it does not carry your trips, parties, financial records, or documents.

Services used only when you turn them on

Several features connect to outside services. Each is optional, each is off until you configure it, and each sends only what that feature needs to do its job. When you enable one, that provider’s own privacy policy also applies to the data it receives.

  • Document storage — Google Drive, Microsoft OneDrive, Amazon S3 and S3-compatible storage, or a folder on your local network, for syncing attachments you upload. Credentials are stored encrypted on your device.
  • Maps, geocoding and routing — Google Maps and OpenStreetMap services receive the place names and coordinates needed to resolve an address or draw a route.
  • Vehicle tracking — GPS positions from the tracking provider your organisation uses, to show vehicles on the live map.
  • Fuel cards — BPCL and Reliance fuel-card services, for balances, card limits, and transaction history on the cards you register.
  • Bank statements — ICICI Bank’s corporate API, to import statement entries into your accounts.
  • Freight platforms — FreightTiger, for the trip and shipment data your organisation exchanges with it.
  • News panel — public news sources, fetched for display only. Nothing about you is sent to them beyond the ordinary request.

Permissions the app asks for

The desktop app needs local file access to keep its database and your attached documents, and network access for the features above. The mobile app asks for location access only if you use vehicle tracking, and for camera and photo access only when you attach a photo or document to a record. You can decline these and continue using the rest of the app.

Updates

Copies installed from the Microsoft Store are updated by the Store, under the settings you control there. Copies downloaded from this website check our release feed for a newer version; that request carries the current version and platform, nothing more.

Website

We process the technical information needed to serve and secure this website. Google Analytics runs only after you consent, and you can withdraw consent at any time. If you submit a demo request, the details you enter are emailed to us so we can reply; the website does not store them in a database. The site is served through Firebase and uses Firebase App Check to block automated abuse.

How long information is kept

Your operational records last as long as you keep them — deleting them in the app, or removing the app’s data, removes them. Diagnostic reports are retained for up to 90 days. Demo-request emails are kept while we are in contact with you and deleted when they are no longer needed.

Security

Connections to our server and to third-party services use encrypted transport. Credentials for the integrations listed above are encrypted before being stored on your device. No system is perfectly secure, so keep your device, your operating-system account, and the sync destination you configure protected.

Children

Transport Book is business software. It is not directed at children and we do not knowingly collect information from anyone under 16.

Your rights

You may ask us what information we hold about you, ask for a copy, ask for it to be corrected, or ask us to delete it. Because your operational records live on your own systems, requests about those are usually satisfied directly in the app; write to us and we will help. We respond within 30 days.

Changes to this policy

If we change how the software handles information, we will update this page and move the date shown above. Continuing to use Transport Book after a change means the updated policy applies.
